PROBLEM TO BE SOLVED: To obtain and provide a search folder that matches a device's environment and situation. SOLUTION: A document management method allows a method of obtaining a search folder to be changed in an environment or situation in which it is undesirable to consume storage resources, so that the search folder is obtained by a method of making a search every time. The method of obtaining the search folder is changed depending on the capacity or residual amount of storage resources installed in the device and on the number of documents that meet search criteria. In a distributed system, the method of obtaining the search folder is changed in all devices according to the device with the least capacity of storage resources installed in an apparatus.
