PROBLEM TO BE SOLVED: To efficiently retrieve data files such as image data and FAX documents captured by an information processing system such as a composite machine from an external terminal device or the like. SOLUTION: After completing the setting and input processing to a retrieving portal setting screen, copying of a specified file is prepared in a monitoring folder and data of a retrieval correspondence table are prepared from a setting condition and written to update the retrieval lookup table. The monitoring folder is constructed in a storage device 34 in an information processing unit part B.
