A process and system for managing field documentation data in a complex project workflow system is disclosed. In one embodiment of the invention, a system and/or process is provided for tracking (1608), managing (1610), and approving (1612) for payment field documents rend ered at the project site. In another embodiment of the invention, a process for prepopulating a data array, e.g., an electronic field document (1602), is provided. In yet another embodiment of the invention, a process for tracking the history of reconciliation negotiations between parties for approval of a field document is provided (1828). An embodiment for transferring a field document between an online environment (1606) of a complex project workflow system and an offline environment (1604) is also disclosed. In another embodiment of the invention, a modular data structure is provided for storing a compilation of actual data input to the system via a field document (1614). A process is also provided for capturing a state of a data input interface at a particular time in a complex workflow system (1620).
