PURPOSE:To attain the effective use of the storage capacity and to manage the documents in a quick and safe way by providing a document management table which stores the term conditions for shift of the document state to all documents that are handled in an information processing system. CONSTITUTION:When a sentence is stored in an information processing system, the least archive period when the change of the document is inhibited is set to a document management table A regardless of the input data of the document and the presence or absence of an access to the document. At the same time, an unallowable access period when the change of the document state is inhibited is set even though the access is not carried out even after the least archive period. In addition, a shift form showing the shift destination of the state carried out after the unallowable access period is also set. When a document management check request is produced, a document state check means C decides whether the present data has passed the least archive period and the unallowable access period or not. If so, a document state shift executing means D shifts the state of the corresponding document in the shift form designating direction of the table A. |
