PURPOSE:To freely change on index output by using the control symbol for index output put into a sentence to retrieve the designated words/phrases and dividing the sorted words/phrase into groups for output of index together with addition and correction of the control symbols. CONSTITUTION:An operator designates an index retrieving control symbol and stores it in a RAM 13. A CPU 11 reads the page numbers out of a document file memory part 14 and stores them in the RAM 13. Then the sentences within a page are read out and said retrieving control symbol is detected. The characters obtained between the start and the end of a retrieving action are defined as the retrieving words/phrases. These words/phrases are detected and outputted to a buffer. Then the presence or absence of the retrieving words/ phrases is checked via a retrieving table. If the presence of said retrieving words/phrases is not confirmed, the new words/phrases are registered together with the corresponding page numbers. If the said retrieving words/phrases are registered, the corresponding page numbers are checked and written additionally as long as they are not written yet. Then the retrieving words/phrases of the retrieving table are sorted with end of the retrieval and divided into groups. Thus an index is produced.
