PROBLEM TO BE SOLVED: To prevent the leakage of secrecy by comparing the version of a set document with that of a prescribed sheet, and when both the versions are not matched with each other, inhibiting the output of the document, thereby updating a retrievable user so that a document cannot be retrieved by a retrieving sheet spread by copying or the like. SOLUTION: A file part 5 compresses image data transferred from a core part 10 and stores the compressed data in a magneto-optical disk set up in a magneto-optical disk drive unit 6 together with a keyword for retrieving the image data. The stored compressed image is retrieved based on the keyword and extended and the extended image is transferred to the core part 10. On the other hand, a retrieving sheet to which information corresponding to the stored data is added is prepared and outputted. A reader part 1 discriminates the retrieving sheet, and at the time of discriminating the retrieving sheet, compares the management version of data with the version of the retrieving sheet, and at the coincidence of both the versions, permits the retrieval and output of a document corresponding to the sheet.
