The document filing system, which includes documents (1) in paper form like for example designs, invoices etc. as well as outsourced documents (2) in digital form for example electronic mail with attachments in different formats for example in doc, xls, dwg, mpeg and other formats, internal documents (3) in digital form in various formats as well as local and outsourced documents (4) in the form of microfilm, is made in such a way that each document (1, 2, 3) which needs to be archived is first drawn in paper form (1) with the help of the corresponding printer (5) which can print digital files and/or microfilm files. After that this document in paper form (1) is provided with a uniform designation code (10) which also includes information on the location within the structure of the previously generated list (9), which shows the organisational structure of the archive. Subsequently, the document (1) carrying the applied designation code (10) is scanned and microfilmed in the scanner (6) and microfilm camera (7), while during scanning the assembly (8) for optical recognition of characters automatically reads the uniform designation code (10) and enters it into the list (9) exactly on the place in the structure defined by the designation code (10). Then the electronic form of the document (1) is saved in raster format and as such it is exported to the archive as document (12), which also includes the designation code (10). The document is also saved during shooting on microfilm within the microfilm camera (7); data (10a) on the location of the corresponding microfilm and its carrier (11) are entered to the list (9) next to the designation code (10). This way after the completion of the process three forms of each document are created: document (12) in raster digital format, document (1) in paper form and document (13) in microfilm format, while all three types of documents carry the same uniform designation code (10), and the uniform designation code (10) as well as information (10a) about its location on the microf |
